CLASSIFIED POSITION DESCRIPTION
POSITION TITLE: Counseling Office & Activities Secretary
FACILITY: Hardin High School
REPORTS TO: Counselors, Building Principal, Activities Director
POSITION OVERVIEW:
The person in this position serves as secretary for the Counseling Office & Activities Department. The secretary will perform assigned duties to support the efficient operation of the Counseling Office and Career Center. This person will facilitate the enrollment process including records transfer and transcripts for incoming and outgoing students. This person also supports the Activities Department.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Communicate with the public, employ discretion and independent judgement
Greet staff, students, parents & guardians in a welcoming manner
Make and receive phone calls, take messages, route calls, respond appropriately to requests for information
Operate and maintain standard office equipment including computer, copier, printer, calculator/adding machine
Type, prepare, distribute, create, file a variety of reports, memos, correspondence, statements, mailings, etc., including confidential data using word processing applications
Greet college representatives, military recruiters and other outside agency individuals, directing them to the proper person, location
Manage the enrollment process and registration of students
Enter transcripts of transfer students into the school software, maintain strict accuracy
Fulfill requests for records from other schools
Fulfill requests for transcripts from former and current students
Verify student enrollment
Maintain student transcripts
Record all student transfers (in and out)
Assist students & parents with enrollment, scheduling, bus forms and student ID’s
Organize Graduation, order diplomas, caps & gowns, compile and keep records associated with graduation
Arrange appointments for the counseling staff
Print-collate mail students’ report cards, mid-term reports & schedules
Order, process, and maintain office supplies for Counseling/Career Center
Type, prepare all materials as requested by the counselors, collate materials to be distributed to various classes
Maintain student lockers & locks
Manage and maintain the Career Center Library
Make cash boxes for all events (athletic, dances, etc.)
Receipt all monies for student activity accounts
Maintain database of athletes with required information as required by MHSA
Scan and share required physical, medical forms with coaches and designated staff members
Type all participant certificates at the end of each season
Compile Student/Athlete ineligibility list as scheduled and submitted to Athletic Director
Maintain key inventory
Maintain classroom inventory
Fill in for other high school secretaries as needed
Coordinate and make special arrangements for events
Perform other duties as directed by the Counselors or Principal
Attend meetings and trainings as requested
Attend established traditional school sponsored activities agreed upon by the building principal
Report any suspicious activity or unusual behavior

DESIRED MINIMUM QUALIFICATIONS:
EDUCATION / CERTIFICATION / EXPERIENCE:
High School diploma, GED, or equivalent
Three to six months of responsible office experience or further education in office procedures or any combination of training and / or experience that could likely provide the desired knowledge and abilities
SPECIAL KNOWLEDGE / SKILLS / ABILITIES:
Knowledge and use of correct English spelling, grammar, punctuation, and composition
Knowledge of numerical, alphabetical, and subject-matter filing systems
Knowledge of modern office methods, procedures, computer programs, equipment, and telephone techniques
Ability to perform a variety of clerical and secretarial work with accuracy and speed
Ability to establish and maintain effective working relationships with students, building staff and school community
Ability to work effectively without close supervision
Ability to understand and carry out oral and written instructions
Ability to communicate clearly and concisely, both orally and in writing
Ability to be flexible in scheduling and planning
Ability to effectively manage time and responsibilities
Ability to handle stressful situations
Ability to maintain confidentiality of employee and student matters
Ability to perform duties with an awareness of all District requirements and Board policies

WORK ENVIRONMENT:
While performing the duties of this position, the employee is frequently required to sit, occasionally walk and stand. The employee must be able to lift and / or move up to 50 pounds.
Must have dexterity of hands and fingers to operate a computer keyboard and grasp objects.
Specific vision abilities required by this position include close vision, distance vision, depth perception, and the ability to adjust focus.
While performing the duties of this position, the employee may perform routine work. The employee frequently exercises flexibility (ability to shift from one task to another). Guidance and reinforcement are usually available. The employee frequently works within time constraints and maintains attentiveness intensity. Our Districts have strong academic programs utilizing a variety of techniques for our students. There are programs for special education students and vocational students. There are a variety of music, drama, art, and sports opportunities for students of all ages. We are a Class A district, Early Childhood (age 4) through 12th grade, with approximately 1,800 students. The student body is 80% Native American.

Community:
Big Horn County, Montana is rich in history, culture and time-honored traditions. It Includes the Crow and Northern Cheyenne Reservations. Hardin (county seat) is situated on the banks of the Bighorn River and the edge of the Crow Reservation. The town is surrounded by productive farms and ranches. Coal mining has also contributed greatly to the local economy. Hardin, is located 46 miles southeast of Billings (largest city in the State) by way of Interstate 90. The Big Horn County Museum, Little Big Horn Battlefield and Chief Plenty Coups State Park provide interesting and important history of the area. The scenic Big Horn, Pryor and Wolf Mountain ranges are part of the Big Horn County landscape. Yellowtail Dam offers a majestic view of the water below. The spectacular Big Horn Canyon National Recreation Area is host to water sports.
